Quick Answer: ColdSEO collects only the data needed to operate your account: email address, name, billing details, your prospect lists, your campaigns, and email logs. We never sell your data, share prospect lists across customers, or run ads inside the dashboard.

What data do we collect?

Account data (email, name, company, password hash), billing data (handled by Stripe — we store only customer and subscription IDs), campaign and prospect data you upload, email send and reply logs, and standard server logs (IP, user agent, requested URL).

How do we use your data?

To operate your ColdSEO account, send your campaign emails through your connected inboxes, deliver service emails (verification, billing receipts, weekly digests if enabled), and aggregate anonymized usage stats to improve the product.

Do you share data with third parties?

We use the following sub-processors:

  • Stripe — billing
  • Anthropic (Claude) — AI personalization (only the prospect domain, role, and campaign goal — not your full email content)
  • Hunter.io — email finding (domain queries only)
  • Mozscape / DataForSEO — domain metrics
  • Email infrastructure providers — your own connected inboxes; we never send via shared infrastructure

How can I delete my data?

Email privacy@coldseo.com from your registered address. We delete account data, prospect lists, campaigns, and email logs within 30 days of request, except where retention is required by law.

How do you protect my data?

SMTP credentials are encrypted at rest with AES-256-GCM. Passwords are hashed with bcrypt (cost 12). All traffic is HTTPS only. Access is rate-limited per IP and per account. Audit logs record every privileged action.
